Should an AI system be built or bought?
Buy when an existing tool fits the task closely and adapting it would cost more than it returns. Build when the task is central to the business, when available tools would force a change to a working process, or when the data should stay under your control.
How does an AI system connect to the tools a team already uses?
It reads its input from one agreed source and writes its output where the team already works, such as the CRM, a shared inbox or a spreadsheet, through each tool's own API. A result that cannot be written back cleanly goes to a person instead of being forced through.
What happens when the model behind a system changes?
Little, if the model is kept separate from the rest: a fixed output format, a set of test cases and saved prompt versions. A new model is run against the same cases and swapped in without rebuilding the links to your tools.
How are errors and invented answers handled?
In the design itself: answers are checked against their source, the scope stays narrow, uncertain cases go to a person, and nothing goes out unreviewed until results on real cases justify it.
